Isn’t this something my CPA or bookkeeper could do? Why not put my numbers into ChatGPT or Claude and ask it to act like an outsourced CFO?

Yes, a business with the time and skills could build a system like this itself. A plumber could tell you that you can replace your own water heater. A car manual could show you how to repair a fault yourself. In both cases, many people choose an experienced plumber or garage because finding the problem, having the right tools and doing the work correctly take time and skill. Setting up AI to answer business questions has a similar practical challenge.

The difficult part is giving AI the right, sufficiently complete information for a whole range of questions. The quality of its answers depends on the quality, meaning and coverage of the data it receives. Depending on the accounting system, that may involve a supported direct connection or identifying and exporting many detailed reports into an organized place the AI can access. It usually also requires relevant information beyond accounting, such as job progress, customer records or staff time.

Owner Insights AI helps define the questions, assemble and connect the sources, explain what the records mean, and test important answers against known figures. The data then needs regular updates. WHY SEEING IT EARLY MATTERS

A profitable sale is not the same as cash available to pay the bills.

A company can have profitable jobs and a promising pipeline while cash payments for labor, materials and overhead arrive before customer receipts. If outflows keep exceeding inflows, the gap can widen quietly. Pending work is not cash in the bank. Seeing the likely timing gives an owner more room to follow up on collections, change spending or hiring plans, discuss terms, and seek advice before a shortfall becomes a crisis.

Cash flow trouble is a common financial challenge and can contribute to a business closing; it is not a single explanation for why businesses fail. In the Federal Reserve Banks’ 2024 survey of small employer firms, 51% reported uneven cash flow and 56% reported difficulty paying operating expenses. 02Can Owner Insights AI help me see a cash flow problem before it happens?

It can help you spot a potential gap early, if the information needed to project cash is available and kept current. A useful view brings together cash on hand, receivables, payables and expected payment dates with upcoming payroll, taxes, purchases and other commitments. For a project business, job schedules and customer payment milestones may matter too.

That lets you ask what cash might look like over the next several weeks, which assumptions matter most, and what happens if a large payment arrives late. A profitable contract can still create a short-term cash squeeze when labor and materials must be paid first. These are scenarios, not guaranteed predictions; someone should review important assumptions and decisions.

03How is this different from the reports I already get from QuickBooks?

Accounting reports are essential, but they are usually prepared around standard periods and categories. An owner may need to ask a more specific question, compare different time frames, or connect sales with job progress, staff time or customer records held elsewhere. We prepare the relevant detail and relationships in advance so supported questions and follow-ups can be explored on demand. The answers still depend on the quality and freshness of the source records; this does not replace the accounting system.

04What information do you need from my business to get started?

We begin with the decisions and questions you want better answers to. Then we identify the accounting exports, definitions and other records needed for those questions. Depending on your business, that could include invoices and costs, payroll or compensation history, customer and product details, project status, contracts, schedules or spreadsheets. We do not assume every company needs every source. We first agree on the useful scope, what is available, and what is missing.

05Will this work with my accounting system, or only with QuickBooks?

It is not limited in principle to QuickBooks. The practical question is whether your system can provide the detail needed for the questions you want to ask, through suitable reports or exports. We have worked through a QuickBooks Desktop setup, but another accounting platform may require different exports, mapping and testing. We would assess that before promising a particular answer or setup.

06How do I know the answers are accurate?

Important answers are tested against known accounting totals and sample transactions during setup. We also define terms such as revenue, profit and date range, check how records connect, and make gaps or uncertainty visible. The system should identify the latest period it covers and avoid presenting missing information as a fact. No AI analysis is infallible: material financial, tax or accounting decisions still warrant review with your bookkeeper, CPA or other qualified adviser.

07How current is the information when I ask a question?

It reflects the most recent data that has been imported and checked, not necessarily a live connection to every business system. The update schedule depends on your arrangement and how often the source records are ready. Each answer should make its covered period clear, especially when a decision depends on recent transactions or a job status that may have changed since the last update.

08Will my bookkeeper or CPA still be involved?

Yes. The bookkeeper helps keep the underlying records sound and may provide or check exports. Your CPA remains the right person for accounting policy, tax treatment and professional judgment. The goal is to let you explore routine, supported business questions promptly, while bringing the right people into decisions that need their expertise.

09Can it answer questions about customers, jobs, products or employees, not just profit and loss?

Potentially, yes, when the relevant detail is available and the records can be connected reliably. Questions might compare product sales, examine customer profitability, review compensation history or track work in progress. Some answers need data from a project, sales, payroll or time-tracking system in addition to accounting. We determine what each question needs before treating it as supported. 10How much work will my team have to do to keep it running?

There is an initial effort to identify useful questions, supply exports, explain how your business uses its records and verify sample answers. After setup, the team still needs to keep the underlying bookkeeping and operational records current and provide updated data on the agreed schedule. The exact workload depends on your systems and whether your team supplies updates or we help manage them. We would establish that process rather than imply the repository maintains itself.
